The Challenge

Manual operations at breaking point.

QUBIXSA was managing their entire signage operation — quoting, invoicing, client communication, and project tracking — through a combination of WhatsApp messages, Excel spreadsheets, and manual email chains. There was no public-facing website, no centralised client portal, and no way for their sales team in Riyadh to generate accurate quotes without calling the operations office. Every invoice was manually typed, every project status was tracked on paper, and every client interaction relied on someone remembering to follow up.

Our Approach

We treated this as a full systems architecture engagement, not just a website build. We started with a 2-week discovery phase mapping every operational friction point — from how quotes were generated to how invoices were tracked to how projects moved from signed contract to installed billboard. From there, we designed three interconnected systems: a bilingual marketing website to establish digital presence, an automated invoicing engine to eliminate manual billing, and an internal admin dashboard to give the team real-time operational visibility across their entire portfolio.
